Thank you for attending the Automate Email Sorting, Lead Routing, Meeting Notes & More with AI workshop at Frontier RTP. Below are the key slides and step-by-step instructions for the exercise we covered during the session.

AI is constantly evolving, so the best way to work with it is to continuously adapt to its new capabilities. For example, building an AI to scan, sort, and prioritize your emails took two weeks of effort in 2024, two hours in 2025, and just one hour by June 2026. Today, it takes a single click.

Below are step-by-step instructions on how to develop an AI solution to scan, sort, and prioritize your emails.

In Microsoft Outlook, you can use Copilot to scan, sort and prioritize your Microsoft emails.

In Outlook, click on the "Copilot" icon (see below red box):

In the Copilot chat, "cut and paste" the below prompt:
 

Scan my entire inbox and produce a prioritized summary of all emails. Group them into categories:

  • Urgent & Time‑Sensitive — deadlines, approvals, issues, or anything requiring action within 48 hours.

  • High Priority — important items from leadership, clients, or key partners that need attention soon.

  • Medium Priority — items that matter but are not time‑critical.

  • Low Priority — newsletters, FYIs, automated notifications, or anything that can be deferred.

For each email, provide:

  • Sender

  • One‑sentence summary

  • Required action (if any)

  • Suggested next step

Then create:

  • A short list of the top 5 items I should handle first

  • A list of emails I can safely ignore or archive

Finally, highlight:

  • Any patterns (recurring issues, repeated requests, follow‑ups)

  • Any emails that appear related and should be grouped together

Keep the output concise, actionable, and organized.

In Google Gmail, you can use Gemini to scan, sort and prioritize your Gmails.

In Gmail, click on the "Gemini" icon (see below red box):

In the Gemini chat, "cut and paste" the below prompt:
 

Act as my Chief of Staff. Triage and synthesize all my emails. 

Organize your analysis into three distinct sections:

### 1. Urgent Action Items (P1)
For anything requiring my immediate decision, reply, or review today:
- **[Sender / Organization]** — *Subject*
  - **Context**: 1 sentence on the situation.
  - **Required Action**: What I need to do and the deadline.

### 2. High-Priority Updates (P2)
Important updates, project progress, or reads that do not require an immediate response:
- **[Sender]** — *Subject*: 1-2 sentence summary of the key takeaway.

### 3. Quick Glance: Low Priority & Noise (P3 & P4)
Group newsletters, receipts, notifications, and cold pitches into a concise bullet list so I can batch-archive or skim them:
- `Category` | Sender | 1-line note
